Manager, Project Support
Manages productivity of staff providing back-office support services for customer engagements in IQVIA’s Contract Sales & Medical Solutions North America division (CSMS NA). Manage employees in accordance with organization’s policies and applicable regulations. Responsibilities include planning, assigning, and directing work; appraising performance and guiding professional development; rewarding and disciplining employees; addressing employee relations issues and resolving problems. Partners closely with Talent Acquisition to ensure onboarding process and background check clearance is progressing for new hires. Also interact regularly with internal cross-functional departments and external stakeholders in support of CSMS projects from initial implementation planning through final deployment of sales and medical teams. This individual also manages Fleet Administration staff and vendors, utilizing a strong working knowledge of industry standards of pharmaceutical programs, and understanding of legal and compliance risks, and mitigation approaches. Will analyze vendor reports and metrics, organize key findings and, proactively deliver status to Director, Project Management & Support. Finally, maintains a focus on continuous improvement for internal and customer facing processes and operations.
Supervise and manage small team (5-6) of Project Coordinators. Also manage Fleet Administrator (one position).
Manage workload balance for staff, ensuring adequate resources are available to meet existing and new CSMS projects.
Responsible for Performance Management of direct reports—i.e., goal setting, weekly check-ins, coaching, career planning, end-of-year reviews, and related compensation activities.
Work closely with CSMS Project Leads to verify quality of support services, monthly deliverables, and prioritize new requirements, as they arise.
Coordinate planning activities as needed with other functions and stakeholders within the organization.
Oversee day-to-day management of the US Fleet Program for field-based employees.
Lead overall vendor management for fleet program; monitor purchase orders, invoicing, and budget alignment for clients contracting with CSMS for these services.
Understand business needs and ensure Project Support processes and operations are aligned.
Control and sign off on weekly time reports and expense reports with particular emphasis on timeliness and accuracy.
Lead new hire Project Support orientation presentations/training for new Field Managers.
Responsible for documenting standard operating procedures (SOPs) and functional area policies (FAPs) related to the duties and programs within the Project Support workgroup, described above.
Provide input to senior leadership in the development and administration of related programs.
Support employees to follow the corporate standards and vocational development program.
Support Sales Management and other key stakeholders to prioritize staff workload and respond to a variety of requests on a regular basis.
Excellent verbal and written communication skills
Ability to establish and maintain effective working relationships with field-based employees, managers, clients, and other colleagues
Experiencing liaising with Talent Acquisition, Human Resources, Finance, Training, and Procurement functions
Proficient working with Excel (VLOOKUP, pivot tables, etc.), PowerPoint, Word.
Experience with Microsoft SharePoint 365
Knowledge of Roster Management tools or technologies is a plus (but not required)
Bachelor’s degree required
Minimum of 5 years management experience in a sales or medical operations department
Equivalent combination of education, training, and experience
People management, training, recruitment, appraisal, coaching, and leadership
Experience in Pharmaceutical, Biotechnology, or related Healthcare industry; commercial pharma experience a plus
Experience with Fleet Administration and vendor management
